Campus Communication Systems for Institutions

WhatsApp, SMS, voice, push, email and chatbots — orchestrated as one DLT-compliant cascade, so every circular, fee reminder and emergency alert lands on the channel each family actually reads.

Why Profmax

Communication built for school gates, not sales funnels

Reaching parents means bilingual copy, budget Android handsets, TRAI-compliant sender rules and messages that must land at 7 a.m. when a bus is delayed — we engineer for all four.

Cascade, don't blast

Every message tries the cheapest, richest channel first — WhatsApp, then push, then SMS, then a voice call for the unreached — so nothing important dies in one inbox.

98%SMS open rate vs 20% for email — the fallback rail that always lands (Gartner)

Compliant by construction

TRAI's DLT regime is non-negotiable: principal-entity registration, approved headers and templates, consent records and DND scrubbing — we set it all up before the first send.

-P/-S/-T/-GTRAI header suffixes mandatory on every commercial SMS since May 2025 (TRAI)

Engineered for Indian Androids

Aggressive battery killers on budget handsets silently drop notifications. We instrument delivery per device class and re-route the unreached automatically.

40–70%of push notifications can go undelivered on Indian Android devices — delivery is engineering, not luck (India Android delivery study)

Conversations, not circulars

Two-way messaging, multilingual chatbots and a shared team inbox turn announcements into answered questions — without the front office answering the same one 400 times.

Problems we have solved

Two composite engagements — anonymised, figures indicative — where reaching a parent turned out to be an engineering problem with a measured before and after.

Fee cascadeA CBSE school · ~3,200 families · Tier-2 North India

On-time fee payment from 71% to 89% in one term — by channel, not nagging

Challenge

A school's fee reminders went out as one email blast and a stack of printed slips, and on-time payment sat around 71%. Roughly a third of parents read English poorly, many carried budget handsets, and the office had no idea which reminders were even landing — only that the follow-up calls never ended.

Approach
  • Instrumented the existing reminders first to establish a real baseline — delivery and read, not sends — and found email opens were a fraction of what the office assumed.
  • Built a WhatsApp → SMS → Hindi-voice cascade: the richest, cheapest channel tried first, each fallback firing only for families the previous step failed to reach.
  • Wrote the voice tier in the parent's own language for the households a text could not move, timed to answer-rate windows rather than office convenience.
  • Triggered the whole journey off the ERP dues status, so a paid family dropped out of the cascade the same day and never got a stray reminder.
  • Costed each channel per delivered message and tuned the escalation thresholds so the expensive voice tier only ran where cheaper rails had genuinely failed.

Solving the budget-Android silent-push problem, measured device class by device class

Challenge

A chain had pushed parents onto its app to cut SMS spend, but urgent notices — bus delays, sudden closures — were quietly not arriving. Push looked free and looked delivered, yet a large share of budget Android handsets were killing notifications at the OS level, and no one could see it because the dashboard reported sends, not receipts.

Approach
  • Instrumented delivery receipts per device class, exposing that the loss was concentrated on specific budget-Android battery-optimiser families, not spread evenly.
  • Separated "sent" from "confirmed received" in reporting, so the silent loss became a visible metric leadership could act on.
  • Built an auto-reroute: any device that failed to confirm a priority push inside a short window was automatically escalated to SMS, so no urgent notice depended on push alone.
  • Reserved the reroute for genuinely urgent broadcasts, keeping routine notices on free push and holding SMS spend down.
  • Ran a controlled before/after on a live closure alert to prove the delivery lift rather than assume it.

TRAI's DLT regime is the price of admission to SMS

No commercial SMS moves in India without principal-entity, header and template registration on a telecom DLT platform — and since 6 May 2025 every header carries a -P/-S/-T or -G suffix declaring its type. Unregistered campaigns are simply scrubbed. Compliance is a setup task, not a hope.

535.8 million reasons WhatsApp is the default channel

India is WhatsApp's largest market on earth, with 535.8 million monthly active users in 2025. For a campus, that means the parent app-install problem is already solved — the only question is whether your institution sends from a verified API or a teacher's personal number.

Statista, 2025

India's silent push-notification problem — and the fix

An industry analysis of 65 billion+ notifications found 40–70% never reach Indian Android users, killed by aggressive battery optimisers on budget handsets. Delivery-aware stacks now instrument per-device-class receipt and re-route the unreached to SMS — turning a silent loss into an engineering metric.
